This Privacy Policy explains how we collect, use, store, and protect your personal data when you interact with The Mawcroft Club, including when you apply for membership, attend events, or communicate with us.

1. Who We Are

The Mawcroft Club is a membership community for professionals, founders, and business owners focused on meaningful connection, culture, and high-quality social and professional relationships.

For the purposes of UK data protection law, The Mawcroft Group Limited is the "data controller".

2. Information We Collect

We may collect and process the following personal data:

Information you provide directly:

  • Full name

  • Date of birth, used to verify eligibility for membership

  • Email address

  • Phone number

  • Location

  • Employment and professional information

  • Social media handles (e.g. Instagram, LinkedIn)

  • Application responses and personal statements

  • Membership preferences

Information collected through membership:

  • Event attendance records

  • Communication history

  • Payment status (handled via third-party payment providers)

3. How We Use Your Data

We use your personal data to:

  • Assess membership applications

  • Verify eligibility for membership, including age where relevant

  • Manage and administer membership

  • Communicate with you about events and Club activities

  • Provide access to membership services

  • Process payments for membership and any additional experiences or events attended separately outside of standard membership

  • Manage guest attendance and event logistics

  • Maintain the safety, quality, and integrity of the community

We do not sell your personal data.

4. Legal Basis for Processing

We process your data under the following lawful bases:

  • Contract — to manage your membership application and ongoing membership

  • Legitimate interests — to operate, improve, and develop the Club

  • Consent — where you have explicitly opted in (e.g. marketing communications or optional directory listings)

5. Data Sharing

We may share your data with trusted third-party service providers who support the operation of the Club, such as:

  • Payment processors

  • Email and communication platforms

  • Event management systems

These providers only process your data on our behalf and under strict confidentiality obligations.

We do not share your personal data with third parties for marketing purposes without your explicit consent.

6. International Data Transfers

Some of the third-party service providers we use may store or process personal data outside the UK or European Economic Area (EEA). Where this occurs, we take steps to ensure your data is protected to a standard equivalent to UK data protection law, including through the use of appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms recognised under UK GDPR.

7. Member Connections & Introductions

Where members opt in, we may facilitate introductions or allow limited sharing of professional details between members for networking and community purposes.

Participation in any member directory or visibility features is optional and based on your consent.

8. Photographs & Video at Events

We may take photographs and video at Club events for use in the Club's marketing, social media, website, and internal records.

By attending an event, you may appear in photographs or video taken at that event, unless you have notified us in advance or on the day that you do not wish to be photographed or filmed. If you would prefer not to be included, please let a member of the Club team know before or during the event, and we will take reasonable steps to avoid including you.

If you appear in a photograph or video that has already been published and would like it removed, please contact us at membership@themawcroftclub.co.uk and we will action your request as soon as reasonably possible.

We process this data on the basis of legitimate interests, in documenting and promoting the Club's community and activities.

9. Data Storage & Retention

We retain personal data only for as long as necessary to manage your membership, comply with legal obligations, and maintain accurate business records.

Where your membership ends, we will retain certain records for a period of six years in line with standard contractual limitation periods under English law, after which data will be securely deleted unless a longer retention period is required by law.

Where an application is declined, or an enquiry does not proceed to membership, we will retain the associated personal data for no longer than 12 months, unless you have separately opted in to be contacted about future membership opportunities, after which it will be securely deleted.

You may request deletion of your personal data at any time by contacting us at membership@themawcroftclub.co.uk. We will action such requests where we are not legally required to retain the data.

10. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data

  • Request correction of inaccurate data

  • Request deletion of your data (where applicable)

  • Object to or restrict certain types of processing

  • Request portability of your data, where technically feasible
